BED Community Fair Registration
Join us for the Beyond Earth Day Community Fair!
The Beyond Earth Day Community Fair hosts around 40 groups and serves as a great opportunity for organizations to reach out to students and others, as well as network with other groups. All booths must include an interactive and engaging activity.

Booth Registration Details
The first groups who sign up for a booth will be guaranteed a spot under the covered area based on space availability. If not all groups can be accommodated under the glass canopy, the remaining will be placed outside in the brick mall. If your group is able to bring their own canopy, please indicate that in the booth registration, so we can accommodate as many groups as possible.
Please bear in mind that the vision of Beyond Earth Day is to provide activities focused on earth ecosystems, health and wellness, viable economies, and social equity and draws attention to the interdependence of the health of and justice for humans, animals, environment, and economy. The fair aims to celebrate or provide education on the well-being of our society, economy, and planet. Fair booths are expected to uphold and align with this goal and vision.
There is no vendor fee, but contributions to the event are welcome (contact us to make arrangements).
Please register to have a booth at the Community Fair by April 11! (Booth space is limited - first come, first serve).
We require all organizations to provide an engaging activity rather than informational materials only (i.e. offer a hands-on activity, game, trivia challenge or anything else you can come up with that allows an attendee to participate). Please also keep in mind how your activity and materials relate to the vision of the BED program (defined at the top of this page).
If you are planning to serve food (e.g. samples, baked goods, etc.), the Memorial Union has certain food policies related to student-groups. Please review the Memorial Union catering webpage and their food policy guide when considering whether or not to serve food at your booth.
Date and Time
The 2023 fair will be held on Tuesday, April 23, 2024 and the times are as follows:
- 10:00 – 11:20 am: Set-up
- 11:30 am – 3:00 pm: Fair
- 3:00 – 4:00 pm: Tear down
You must be completely set up by 11:20 am. If no one is at your booth by 11:20 am, we reserve the right to give your space to another group or remove your table.
Tear-down will begin at 3:00 pm, and all booth materials must be removed by 4:00 pm. In order to create a lively and successful event, booths and their staff are required to stay during the full event timeframe (11:30 am – 3:00 pm). Booths that leave early may be given lower priority when registering for next year’s fair.
Location
The Fair is located in the Student Experience Center (SEC) Plaza, and you will have a pre-assigned booth space emailed to your booth contact(s) prior to fair day.
The SEC Plaza is located between the Student Experience Center (2251 SW Jefferson Way) and the Memorial Union (2501 SW Jefferson Way). Links to a map can be found below. If you have questions or need anything, come ask someone at the Community Engagement & Leadership or info booths.
Materials
We Provide:
- An assigned spot (map will be made available prior to event)
- One 6′ table and the number of chairs you requested upon registration, if any
- A limited number of carts and hand trucks to borrow for transporting materials from a vehicle
You Provide:
- Tabling activities and display*
- Tablecloth, if desired
- Person/people to staff your booth
- A desire to educate OSU students, OSU staff, and community members about your group!
- If you requested power access, please bring an extension cord if possible
Transportation Information
We encourage vendors to use alternative modes of transportation to the greatest extent possible. Options include:
- The SEC Plaza is just a short 15-minute walk from downtown Corvallis.
- Surrounding areas offer ample bicycle parking. By bicycle, the Plaza is as little as 5 minutes away from downtown Corvallis.
- Several bus routes operated by Corvallis Transit have stops within a few blocks of the Plaza.
If you are driving to campus, we recommend entering campus from Jefferson and 15th, heading west. Just past the Valley Library, the SEC will be on your right (see a map to the right and information regarding unloading below).
Loading/unloading should take place between 10:00 and 11:20 am unless special arrangements are made in advance. When you arrive at the southern side of the S.E.C. Plaza on Jefferson as described above, you will see loading/unloading parking spaces on the right, just past the Plaza.
Look for an event volunteer wearing an orange vest, who will direct you to where to a loading zone space where you can temporarily park your vehicle. (Please note that these spots are only for loading/unloading materials; vehicles should be parked in appropriate locations after delivering materials – see below.)
We will have a limited number of carts and hand trucks available for your use to move materials from your vehicle to your booth space in the Plaza.
If you are coming to campus in a vehicle, please plan to pay for parking. You will need to unload your vehicle at the SEC Plaza, park your car and then walk or take the OSU Beaver Bus (a free shuttle) back to the Plaza.
Here are some of your best parking options:
- The parking garage on 26th St and Washington Ave (note that the west side of the 3rd floor is reserved for Beaver Store customers, however the east side is okay. We ask you not to park on the 4th and 5th floors as they are reserved for resident parking. Floor 1 and 2 are open for your parking needs).
- The large lot around Reser Stadium off 26th St. just north of Western Blvd is another option. This tends to be busy depending on the time of day. For overflow visit the Sports Complex West Lot next to the Hilton. There is a Beaver Bus stop directly in front of this parking lot on Western.
- The A3 lot on 15th and Jefferson is another option. It is $2/hour if the permit is purchased at the respective pay station.
To pay for parking, you can either pay $1/hour for up to 4 hours or $4 for the full day in Zone B or C lots. Zone A lots are $2/hour or $6 for the full day. You can purchase your permit ahead of time online, from a mobile device upon your arrival, or pay at one of the pay stations located in the parking areas (which accept credit cards and exact currency in $1 and $5 bills). Learn more about OSU visitor parking. For either option, you will need to know the license plate number of the vehicle you are parking.
